Frequently Asked Questions
Everything you need to know about Apyra AI AP Automation—from how it works to getting started.
General
What is Apyra AI AP Automation?
Apyra is an AI-powered accounts payable automation platform that captures invoices, routes them for approval, matches them to purchase orders, and syncs everything to your ERP—eliminating manual data entry and reducing processing costs.
Who is Apyra designed for?
Apyra serves businesses of all sizes—from growing companies processing a few hundred invoices per month to large enterprises handling tens of thousands. If your AP team is still keying invoices manually or chasing approvals via email, Apyra can help.
How does the AI work?
Apyra uses machine learning models to read invoices (PDF, image, or email), extract header and line-level data, auto-code GL accounts, and flag anomalies. The AI learns from your corrections over time, improving accuracy with every invoice processed.
What types of invoices can Apyra process?
Any format—PDF attachments, scanned images, email-forwarded invoices, and electronic invoices. Apyra handles single-page and multi-page invoices, credit memos, and recurring invoices.
Do I need to change my existing AP process?
No. Apyra adapts to your existing approval workflows, coding rules, and business logic. We configure the platform to match how your team already works, then automate the manual steps.
Features & Capabilities
What is 3-way PO matching?
Apyra automatically matches invoices against purchase orders and receiving documents to verify that what was ordered, received, and billed all align. Discrepancies are flagged for review, preventing overpayments and duplicate charges.
How do approval workflows work?
You define the rules—by amount, department, GL code, vendor, or any combination. Apyra routes invoices to the right approvers automatically. Approvers can review and approve via email, mobile, or the web portal. Escalation rules handle overdue approvals.
Can approvers approve invoices by email?
Yes. Approvers receive an email with invoice details and can approve or reject with a single click—no login required. This is how most managers and executives interact with the platform.
What is the vendor self-service portal?
The vendor portal (Professional and Enterprise plans) lets your suppliers check invoice and payment status, update their banking information, and submit invoices directly—reducing inbound AP inquiries from vendors.
What reporting and dashboards are available?
All plans include standard dashboards covering invoice status, aging, approval cycle times, and processing volumes. Professional and Enterprise plans add anomaly detection alerts and advanced analytics.
Does Apyra handle multi-entity and multi-currency?
Professional plans support up to 3 entities. Enterprise plans support up to 10 entities with full multi-currency and multi-language capabilities for global operations.
Integrations
What ERPs does Apyra integrate with?
Oracle E-Business Suite, NetSuite, JD Edwards, Dynamics 365, SAP, Sage Intacct, QuickBooks, and any system with a REST API. See our Integrations page for the full list.
How does the ERP integration work?
Apyra uses pre-built connectors to sync bi-directionally with your ERP. Vendor master data, chart of accounts, POs, and payment data flow automatically between systems. No manual imports or exports required.
What if my ERP isn't on the supported list?
If your system has a REST API, we can build a custom integration. Custom integrations are available as a professional services engagement or included with Enterprise plans. Contact us to discuss your needs.
Can Apyra integrate with multiple ERPs at once?
Yes. Starter plans include 1 ERP integration. Professional plans support up to 3, and Enterprise plans support up to 5. This is common for organizations with different ERPs across subsidiaries or divisions.
Security & Compliance
How is my data protected?
All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). The platform is hosted on enterprise-grade cloud infrastructure with SOC 2 Type II compliance. Access is controlled through role-based permissions.
Does Apyra support single sign-on (SSO)?
SSO via SAML 2.0 is available on Enterprise plans. This integrates with identity providers like Okta, Azure AD, and Google Workspace.
How does Apyra help with audit and compliance?
Every action in the platform is logged with a complete audit trail—who approved what, when, and from where. Invoices, approvals, and changes are timestamped and immutable, supporting SOX compliance and internal audit requirements.
What about fraud prevention?
Apyra detects duplicate invoices, flags unusual amounts or vendors, and identifies anomalies in invoice patterns. Enterprise plans include advanced fraud prevention with AI-driven risk scoring and alerts.
Pricing & Billing
How much does Apyra cost?
Starter is $99/month (up to 500 invoices), Professional is $199/month (up to 5,000 invoices), and Enterprise is custom-priced. All plans include unlimited users. See our Pricing page for full details.
How is pricing determined?
Starter and Professional plans have published monthly prices with included invoice volumes. If you exceed your plan's included invoices, overage is billed at $0.50/invoice. Enterprise plans are custom-quoted based on your volume, entities, and integration needs.
Are there per-user fees?
No. All plans include unlimited users and email approvers. Your AP team, managers, and executives can all use the platform at no extra cost per person.
What happens if I exceed my invoice volume?
Overage invoices are billed at $0.50 per invoice beyond your plan's included volume. There are no service interruptions—your invoices keep processing.
Is there a setup fee?
Standard onboarding is included in every plan—covering guided setup, a single pre-built ERP integration, basic workflow configuration, and virtual training. If your deployment requires custom integrations, data migration, or complex configurations, we offer professional services quoted transparently based on scope. Custom implementation is included with Enterprise plans.
What's the contract length?
Annual contracts are standard and save 15% compared to monthly billing. We also offer multi-year agreements with additional volume discounts for Enterprise customers.
Can I upgrade or downgrade my plan?
Yes. You can move between plans as your needs change. Upgrades take effect immediately, and we prorate any difference.
Getting Started
How do I get started with Apyra?
Request a demo and we'll walk you through the platform with your specific use case. From there, you can start with a 30-day paid pilot or go straight to a subscription.
How does the 30-day pilot work?
Pay a one-time pilot fee and we set up Apyra with your actual ERP, configure your approval workflows, and process your real invoices for 30 days. If you subscribe, 100% of the pilot fee is credited toward your first annual contract. Your pilot environment becomes your production environment—no re-implementation required.
How long does implementation take?
Standard onboarding takes 1–2 weeks for Starter and Professional plans. Custom enterprise deployments with multiple integrations and data migration typically take 4–8 weeks.
What does standard onboarding include?
Guided setup with an onboarding specialist, a single pre-built ERP integration, up to 3 approval workflows configured, a 2-hour virtual training session, and email support during go-live.
Will my team need training?
Minimal. Apyra is designed to be intuitive for AP users. Approvers just click a link in their email. AP power users get a virtual training session during onboarding, plus access to our knowledge base and help center.
What kind of support do I get after go-live?
All plans include email support, platform updates, and knowledge base access. Professional plans add priority support with faster response times. Enterprise plans include a dedicated success manager and quarterly business reviews.
